The Reframe Rooms ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect when you use thereframerooms.com, why we collect it, how we use it, and what rights you have over it.
Who we are
The Reframe Rooms is a practice space for therapists, holistic practitioners and coaches, based in Bath, UK. We are the data controller for the personal data described in this policy.

What we collect
When you join our practitioner waitlist, we collect:
- Your name
- Your email address
- Your role (therapist, holistic practitioner, coach, play therapist, or other)
- Your preferences — whether you'd like to be invited to our prelaunch open event, and/or receive our newsletter
We do not knowingly collect any special category data (such as health information) through this form.
Why we collect it, and our lawful basis

Who we share it with
We use the following third-party services to run this site and process sign-ups:
- Supabase— stores your name, email, role and preferences to manage the waitlist. Your data is hosted in Supabase's UK (London) region. Their privacy policy: supabase.com/privacy.
- Resend— sends your confirmation email when you join the waitlist.
- Vercel— hosts this website, and, as with any web host, automatically logs visitor IP addresses as part of normal server operation. Their privacy notice: vercel.com/legal/privacy-notice.
- Substack— if you opt in to the newsletter, we may add your email address to our separate Substack mailing list to send it. This is done manually by our team, rather than as an automated data transfer from this website. Substack's own privacy policy applies to how they handle it once added: substack.com/privacy.
We do not sell your personal data to anyone.
How long we keep it
We keep waitlist data for as long as you remain subscribed, and delete it within 14 days of you unsubscribing or the prelaunch period ending, whichever is sooner. This is currently a manual process carried out by our team rather than an automated one.
Cookies and similar technologies
This site does not currently use analytics, advertising or tracking cookies. If that changes, you'll be asked to actively opt in before any non-essential cookie is set — you can accept all, allow only what's necessary, or choose exactly which categories to allow, using the cookie banner shown when you first visit. Our typefaces (Poppins and Karla) are self-hosted as part of the site itself, not loaded from Google Fonts' own servers, so no data is sent to Google when you visit.
Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Ask us to correct or delete it
- Withdraw consent at any time (e.g. unsubscribe from the newsletter, or ask to be removed from the waitlist entirely)
- Object to or restrict how we use your data
- Request a copy of your data in a portable format
- Complain to the Information Commissioner's Office (ICO) if you think we've mishandled your data
